It is the Policy of the Macon and Joan Brock Virginia Health Sciences EVMS Medical School at Old Dominion University and the EVMS School of Health Professions (SHP) that written standards, criteria and procedures for the review and recommendation of individuals for faculty appointment, promotion, and tenure be established, maintained and disseminated to faculty. An effective academic medical center requires a diverse faculty. Accordingly, the definitions and standards contained within this document pertain to the initial appointment, subsequent promotion, and tenure (when applicable) of all EVMS legacy school faculty engaged in the diverse areas of teaching, clinical care, research/discovery and administration/service.

In order to affirm the multiple roles that EVMS legacy school faculty contribute to the school's mission and vision and for our community, all faculty pursue one pathway toward appointment and promotion. The process is outlined in the Guidelines for Appointment and Promotion. The established global evaluative system takes into account the responsibilities and roles of each faculty group. Faculty Appointments

All initial faculty appointments to EVMS or the SHP shall be made in accordance with the applicable Standards of Excellence, the Appointment and Promotions Guidelines and the framework outlined in the Policies and Procedures for Faculty Appointments. 

All appointments should be requested through the relevant Department Chair within the School of Medicine or the Senior Associate Vice President and Dean of the School of Health Professions.

Appointment Nomination Package Required Checklist:

Salaried Faculty

  • Letter from Department Chair or Senior Associate Vice President and Dean of the EVMS School of Health Professions
  • EVMS Legacy CV- updated within the last 6 months
  • New Faculty Information Form– must be signed and dated within the last 6 months
  • Copy of certificate/diploma for terminal degrees that cannot be verified online
  • Transcript from Terminal degree Institution – with raised seal (Salaried Faculty Only – MD, DO & DPM degrees are exempt because of other additional requirements)
  • Provide justification:
    • If a physician - must be Board eligible or Board certified
    • If a license professional - provide documentation of certification

Non-Salaried / VA Faculty

  • Letter from Department Chair or Senior Associate Vice President and Dean of the EVMS School of Health Professions
  • Professional CV - updated within the last 6 months
  • New Faculty Information Form – must be signed and dated within the last 6 months
  • Copy of certificate/diploma for terminal degrees that cannot be verified online
  • Provide justification:
    • If a physician - must be Board eligible or Board certified
    • If a license professional - provide documentation of certification

    Community Faculty

    • Letter from Department Chair or Senior Associate Vice President and Dean of the EVMS School of Health Professions
    • Professional CV - updated within the last 6 months
    • New Community Faculty Information Form - must be signed and dated within the last 6 months
    • Copy of certificate/diploma for terminal degrees that cannot be verified online
    • Provide justification:
      • If a physician - must be Board eligible or Board certified
      • If a license professional - provide documentation of certification

      Adjunct Faculty

      • Adjunct Faculty Appointment Form
      • Professional CV – must be signed and dated within the last 6 months
      • New Faculty Information Form – must be signed and dated within the last 6 months
      • Official Transcripts for degrees that cannot be verified online.

      Appointment Nomination Package Required Checklist:

      Salaried Faculty

      • Letter from Department Chair or Senior Associate Vice President and Dean of the EVMS School of Health Professions
      • Three Internal/External Letters of Recommendation Requirements
      • Personal Statement/Narrative (signed and dated)
      • EVMS Legacy CV - must be signed and dated within the last 6 months
      • New Faculty Information Form – must be signed and dated within the last 6 months
      • Copy of certificate/diploma for terminal degrees that cannot be verified online
      • Transcript from Terminal degree Institution – with raised seal (Salaried Faculty Only – MD, DO & DPM degrees are exempt because of other additional requirements)

      Community Faculty

      • Letter from Department Chair or Senior Associate Vice President and Dean of the EVMS School of Health Professions
      • One Letter of Recommendation Requirement
      • New Community Faculty Information Form – must be signed and dated within the last 6 months
      • Professional CV – preferably updated within the last 6 months
      • Copy of certificate/diploma for terminal degrees that cannot be verified online
      • Provide justification:
        • If a physician - must be Board eligible or Board certified
        • If a license professional - provide documentation of certification

      Adjunct Faculty

      • Adjunct Faculty Appointment Form
      • Professional CV – must be signed and dated within the last 6 months
      • New Faculty Information Form – must be signed and dated within the last 6 months
      • Official transcripts for those degrees that cannot be verified online

      **Please be aware that if you are transitioning between institutions and seeking an appointment at a higher rank than your previous position, please follow the full Appointments and Promotions process, as outlined below the Faculty Lateral Rank Appointment sections.**

      Guidelines for Senior Lateral Appointments (for candidates moving from another academic institution and requesting same academic rank as that held at prior institution). 

      To facilitate an academic appointment for faculty who have been recruited from another academic institution and for whom an appointment is requested at the same academic rank (i.e., Associate Professor, Professor) that was held at the prior institution, the candidate’s appointment process could be expedited via a simplified packet submitted for review.

      Appointment Nomination package for Lateral Appointments at all ranks should contain: 

      • Letter from Department Chair or Senior Associate Vice President and Dean of the EVMS School of Health Professions
      • Candidate’s CV in EVMS Legacy format - must be signed and dated within the last 6 months
      • New Faculty Information Form – must be signed and dated within the last 6 months

      Faculty Promotions

      Promotion to a higher rank is a primary recognition of excellence. Faculty Affairs recognizes that such excellence may be demonstrated in all academic domain areas (teaching, clinical care, research/discovery and administration/service). Promotion to a higher rank implies recognition by a faculty member that, concurrent with the honor and privileges awarded, there are continuing obligations to academic excellence, professional growth and service.

      Promotion shall occur only after an exhaustive evaluation has been made of the candidate’s merits. It is Policy that faculty promotions shall be made in accordance with the applicable Standards of Excellence, the Appointment and Promotions Guidelines, and the framework outlined in the Policies and Procedures for Faculty Promotion. All promotions should be requested through the relevant Department Chair within the Eastern Virginia Medical School or the Senior Associate Vice President and Dean of the EVMS School of Health Professions.
